Court notices and publications: building a fail-proof daily routine

Capture, triage, deadline, person in charge and review — in five steps.

Procedural communications now arrive through many channels: electronic court gazettes, court portals, e-filing systems and Brazil's Electronic Judicial Domicile. The National Council of Justice (CNJ) has been unifying these channels, but in practice the firm needs a routine that works every single day.

Step 1 — Capture: a single point of entry

Bring everything together in one place. Monitoring the gazette by the lawyer's name and Bar number, tracking cases by number and checking the portals should result in a single daily list, with no duplicates.

Step 2 — Triage: what it is, which case, for whom

Each communication must answer three questions:

  1. Which case and client does it belong to?
  2. What does it order (a filing, a hearing, a payment, acknowledgment)?
  3. Who is responsible for complying?

Step 3 — Deadline: count and record it right away

Calculate the deadline during triage, following the CPC rules (business days, starting point, local holidays). Record:

  • Final date (the last day);
  • Safety date (a few days earlier, for review);
  • Person in charge and reviewer.

Step 4 — Distribution: nobody is left uninformed

The person in charge should be notified on the same day, preferably through the system the team already uses — not through loose messages that get lost.

Step 5 — Review: close the day

Before the end of the workday, check:

  • Has every communication of the day been triaged?
  • Does every deadline have a person in charge?
  • Are any deadlines due tomorrow still without a draft?

A simple routine, repeated every day, protects more than any heroic effort on the eve of a deadline.

What about vacations, leave and staff turnover?

Define backups for each person in charge. A deadline without an active owner is the most common way deadlines are missed.
