From first contact to signed agreement: organizing the firm’s sales funnel
Intake, proposal and follow-up with a method — and within professional ethics.
A prospective client contacts the firm, talks to someone on the team, receives a proposal... and disappears. Most of the time, it wasn't the price: there was no follow-up, no clarity, or nobody responsible for the next step.
What is a sales funnel in a law firm
It is simply the sequence of stages a prospect goes through before becoming a client. A lean example:
- First contact — the person reaches out to the firm;
- Qualification — understanding the case, its urgency and whether it fits the practice areas;
- Meeting / consultation — initial analysis with the lawyer;
- Proposal — scope, fees and terms in writing;
- Negotiation — questions and adjustments;
- Signed agreement — work begins;
- Did not move forward — with the reason recorded.
Golden rules
- Every contact has an owner and a next action with a date;
- Every proposal is in writing, with a clear scope (see our article on fee agreements);
- Reply within one business day, even if only to say the analysis is still underway;
- Record the reason when a client doesn't sign: price, timing, outside your practice area, hired someone else.
Ethics first
Organizing intake is not the same as "selling" legal services. The Bar's rules prohibit soliciting clients and commercializing the profession: the funnel deals with people who have already contacted the firm, with transparency and without promising results.
Measuring the funnel
With stages recorded, some numbers emerge naturally:
- How many contacts become consultations;
- How many proposals become agreements;
- Average time from first contact to signature;
- Main reasons for losing prospects.
