How to collect fees without awkwardness (and without forgetting)

Many lawyers deliver excellent work and then hesitate when it's time to bill. They send a timid message, wait another week, and one overdue installment becomes two. The awkwardness doesn't come from billing itself, but from improvised billing.
Agree on everything in writing
Smooth collection starts with the fee agreement: amounts, due dates, payment method, penalties and interest for late payment. When everything is agreed, billing is simply fulfilling the agreement.
Offer convenient payment methods

Automate reminders
A simple, respectful sequence:
- A few days before the due date: a friendly reminder with the link;
- On the day: a due-date notice;
- After the due date: a message with a new copy of the bill;
- A few days later: a personal call from the lawyer.
When the message is automatic, nobody has to "work up the courage" to bill.
Separate the lawyer from the collector
Whenever possible, leave the collection routine to the system or the administrative team. The lawyer preserves the technical relationship and the client's trust.
Track the results
Late payment rate, average collection time and expected revenue for the month: three numbers that show whether billing is working.
